A Complete Guide to TRAI Registration for Sending Bulk Messages with Ebulk Marketing

If you want to send bulk messages with EBulk Marketing, you need to be a registered sender with your service access provider. Once you register your business entity, you can send only registered and approved template messages to your customers.

You can directly copy your registered templates to the EBM SMS Panel along with the sender ID. Simply click on “+” to add your registered sender ID to the EBM SMS Panel. You can choose it to be your default sender ID. You can add more than 1 sender ID.

Once you have added the sender ID, it is time to add your message templates along with their titles. You can simply copy your approved templates from your service access providers. Templates not registered with the access provider will not be approved by Ebulk Marketing. So make sure that all the templates that you may use to send commercial communication are registered with your service provider.

There are different types within which your message templates will be segregated.

1) Promotional Message

2) Transactional Messages - To be sent only by banks.

3) Service Messages - For businesses other than banks.

Follow the below-given steps to register your entity on the DLT platform to add an Entity ID. Once you have registered on the DLT platform, you can add or receive a Sender ID or header from which your customers will receive your messages.

DLT Platform Registration Process

All the telecommunication service providers provide DLT platforms and allow marketers to communicate with their customers or prospects. Following is the process to register on different DLT platforms

VI (Vodafone Idea), BSNL, Airtel

  1. Select your type of operation
  1. If you have already registered with any other DLT platform, enter your Entity ID. If not then enter your PAN number and then click on “Verify and continue”.
  1. Fill in the details including your business type, email, password, and mobile number. You can use this information to login the next time you log in.
    You will receive a verification email from the platform provider. Click on the link in the email for further procedure.
  1. Enter your business-related information including your PAN, website, GST number, etc. It is important to note that your business name in this form must match your GST certificate.

  2. Follow and fill up all the required textbox.

  • Letter of Authorization
  • Accepted Authorized signatory

  1. Click on Register Now
  1. Select your business type and fill in the details. Then click on Submit.
  1. Click on the link received in your email to process further.

  1. Click on New DLT Registration.
  1. Select your business location and click on New Registration
  1. Fill in all the required details and click on Submit.

  • CIN/GST/TAN Number
  • Proof of Identity
  • Address Proof
  • Authorization Document

Header Registration

Once you have successfully registered on one of the DLT platforms, you can start adding your headers. There are two types of headers or sender IDs that you can use to communicate with your customers.

Promotional Headers

These are 6-digit numeric headers that are randomly assigned to your business. You do not get to choose your promotional headers.

These numeric headers can only be used for promotional messages. No other type of message must be sent using numeric headers.

Transactional and Service Headers

For all the other message types, headers are a set of 6 alphabetical letters. You can choose these headers according to your need. These headers are case-sensitive, so be mindful of whether you want your header to be all-caps or all small.

However, you need to give a justification as to how the header you have chosen is suitable for your messages. You can either write an explanation or upload proof stating the same.

It is important to know that you may not use these sender IDs to send promotional messages.

(Note: Messages without an approved Header or Sender ID will be blocked instantly by the telecom service provider. Sending transactional messages under common headers is against the regulations set by TRAI. We will advise you to get your own header/sender ID by legally registering on DLT Platforms.)

Adding Telemarketer ID (TM ID)

This is a crucial step as you are adding EBulk Marketing PVT. LTD. as your telemarketing partner with the DLT platform.

For VI, BSNL, Airtel

  • Click on “Telemarketer” from the dashboard interface
  • Click on Add
  • Search for EBulk Marketing PVT. LTD. in the “Select your Telemarketer” text box
  • In the drop-down menu, select EBulk Marketing PVT. LTD.
  • In the “Enter your Telemarketer ID” textbox, type “1101521490000033468”
  • Click on the “Add” button.

For BSNL, additionally, you have to send an Agreement Copy printed on a ₹50/- stamp paper to your local BSNL Office.

  • Send your Unique ID to our sales team to get the service agreement form.
  • Fill up all the necessary details.
  • Print it on the ₹50/- stamp paper, and
  • Get the Authorized Signatory of your company to sign it

Once you have the signature send the Service Agreement copy to your local BSNL office. All the other required documents are mentioned in the previous section.

For Reliance Jio

  • Select Campaign
  • Go to “My Telemarketers”
  • Click on “Manage Telemarketers”
  • Type “1101521490000033468” or “EBulk Marketing PVT. LTD” in the search for telemarketer ID
  • Drag it to the “My Telemarketers” list
  • And then click on Apply.

For Videocon

  • From the sidebar menu, select “Telemarketer Request”
  • In the textbox, enter the telemarketer ID “1101521490000033468”
  • Click on “View Details”
  • Tick the checkbox “I hereby authorize EBulk Marketing PVT. LTD for on-boarding with us on VMIPL DLT Panel as our Telemarketer partner.”
  • And then click on the “Submit Request” button.

Template Registration

Registering your SMS templates is important. You cannot add unregistered templates in the EBM SMS Panel. Following are the steps to register your content template on major DLT Platforms.

VI, BSNL, Airtel

  • From the above menu bar, select “Template” and then, “Content Template”
  • Click on “Add”
  • Select the Message type from “Promotional/Service Implicit/Service Explicit/Transactional”.

(Note: Transactional Messages are only for banks. For other businesses wanting to send OTP and similar other communication, choose Service Implicit message type.)

  • For Promotional or Service Explicit message type, select a Category from the drop-down menu.
  • Select Headers that you want to use with your template
  • Add a Template Name (You cannot create two templates with the same Template Name.)
  • Select the template message type – Text or Unicode (Messages in regional languages will come under Unicode)
  • Add your content in the ‘template content’ textbox
  • Add your brand name to the content
  • And then, click on “Save”.

Reliance Jio

  • From the menu bar, select “Template” and then, “Content Template Registration”
  • Select the “Type of communication” from “Promotional/Service Implicit/Service Explicit/Transactional”.

(Note: Transactional Messages are only for banks. For other businesses wanting to send OTP and similar other communication, choose Service Implicit message type.)

  • Select “Template type” as “SMS”
  • For Promotional or Service Explicit message type, select a Category from the drop-down menu.
  • Add a Template Name (You cannot create two templates with the same Template Name.)
  • Select Headers that you want to use with your template
  • Add your content in the ‘template content’ textbox
  • Add your brand name to the content
  • And then, click on “Submit”.

For the time being, the Jio DLT platform only supports English language templates.

Videocon

  • From the menu bar, select “Template” and then, “Add New Template”
  • Add a Template Name (You cannot create two templates with the same Template Name.)
  • Select the Template/Communication type as “SMS”
  • Select the “Type of communication” from “Promotional/Service Implicit/Service Explicit/Transactional”.

(Note: Transactional Messages are only for banks. For other businesses wanting to send OTP and similar other communication, choose Service Implicit message type.)

  • For Promotional or Service Explicit message type, select a Category from the drop-down menu.
  • Select Headers that you want to use with your template
  • Add your content in the ‘template content’ textbox
  • Add your brand name to the content
  • Enter the OTP you receive in the assigned box
  • And then, click on “Submit”

Adding Templates to EBM SMS Panel

You can add the registered templates in the EBM SMS Panel with these simple steps.

  • From the Dashboard sidebar menu, click on SMS > “Send Bulk SMS”.
  • Select the appropriate “Sender Type” (Promotional/Transactional/International)
  • Choose the Message type (Normal/Unicode)
  • If you have already added client numbers, then select the ones to whom you want to send that SMS.

(Note: You can upload the client numbers in bulk by uploading a .csv or .txt file)

  • Select the sender ID from the drop-down list or you can add a new one by clicking on the “+” button below it.
  • Click on the “+” button below the “Template” box.
  • Copy Template Title and Template content in the text boxes available.

(Note: Your Template content should be within 160 characters.)

  • Click on “Submit”

You can start sending the template once it is approved. (Approval takes only a few minutes.)

To send bulk messages via API, go to the “HTTP API” submenu in SMS and use the links to integrate the API into your CRM.

Where can EBulk Marketing help with DLT Registration?

The TRAI regulations are updated frequently. And where EBulk Marketing may not be able to control or change them, we will definitely keep you updated with these new changes.

We have already given you a step-by-step process for registering on major DLT platforms of India. However, we may not be able to help you identify the problem if your template or sender ID approval is pending as we do not have any information on the inner process of the telecom service providers. Keep an eye on your email or calls where you might be communicated directly from the DLT platforms to update on your status. Or you can send in a query directly to the service provider. Approval time can also depend upon the number of pending approvals at the telecom service provider and may result in a delay if the rush is more.

Moreover, any fee charged by the DLT platform is not a part of EBulk Marketing subscription plans. We cannot control or change that.
